Weekly purchasing budgets

From sales inputs to a budget for each location.

The manual work

Weekly sales figures and purchasing rules need to be brought together before each location receives its budget.

The build

Power Automate brings together sales data and Excel budget inputs, applies the agreed calculations and prepares location and management emails.

The output

Each location receives its purchasing budget in a consistent format, with a consolidated view for management.

Purchasing versus sales

See the budget, actual purchases and variance together.

The manual work

Comparing purchasing with the budget means gathering separate reports and matching the correct sales and purchasing periods.

The build

The workflow uses defined reporting windows, groups purchases by location and category, and calculates the difference from the agreed budget.

The output

A recurring email report shows each location’s budget, actual purchases and variance, with the category detail available for review.

Daily bank ledger reporting

A scheduled view of bank ledger activity.

The manual work

Daily ledger activity has to be gathered from the accounting system and prepared for the people reviewing it.

The build

A scheduled workflow retrieves the relevant Business Central ledger entries and formats them into an email report.

The output

The review starts with a consistent daily report. Accounting review and any follow-up decisions stay with the team.

Invoice review packets

Bring the right invoice PDFs into the review email.

The manual work

Preparing invoices for review involves finding the relevant documents and assembling attachments by hand.

The build

The workflow selects invoice PDF attachments using defined file rules and assembles the documents for email delivery.

The output

Reviewers receive the selected documents together, with the repeatable collection and delivery steps handled by the workflow.

Form intake and calendar scheduling

Carry a request through to a calendar event.

The manual work

Details collected in a request need to be copied into a calendar, including the date, time and people attending.

The build

Power Automate collects the response, prepares the date and attendee information, and creates the Outlook calendar event.

The output

The same request details move into the calendar without a separate round of manual entry.
